01/22/2018 - MinutesCity of Port Orchard 216 Prospect Street, Port Orchard, WA 98366 (360) 876-4407 • FAX (360) 895-9029 Festival of Chimes and Lights Committee Minutes Monday, January 22, 2018; 3:30 p.m. at City Hall Members present: Chair Lucarelli and City Staff Brandy Rinearson, Bill Thiele, and Jenine Floyd. Guests present: Kathleen Wilson and Bobbie Stewart, POBSA; and Terry Bontrager, Saints Car Club. Lights and Decorations Clerk Rinearson said we received a couple garland quotes from vendors. Chair Lucarelli noted we will be able to buy decorations as the Council is in favor of finding more money. We will have to follow the procurement process. Clerk Rinearson said the committee will need to discuss and provide specifications for the decorations so the City can solicit vendors to put in bids. She briefly updated the committee on the procurement process and quotes. Chair Lucarelli noted her and PW staff Bill Thiele will meet and discuss the specifications needed. Staff was asked to contact the vendors and see if they can send samples. The Committee continued discussion on decorations and noted this year is the 20th anniversary of the festival. Review of 2017 Event The Committee discussed Santa and chair, brochures, pet parade and sponsors, firetruck, tent, storage space, firepits, sleigh, tree, and volunteers. Marketing/Advertising of 2018 Event Chair Lucarelli noted they are working on the advertising budget and will need good exposure this year. Staff Floyd said the 2017 event was posted to the City’s Facebook page and website. Grant Obligation The Committee discussed the grant obligations of obtaining photos and testimonials from people who were at the event. Staff Rinearson said she would let the Committee know when she receives information about applying for the next grant. There being no further business, Chair Lucarelli adjourned the meeting at 4:31 p.m. Audio-only recording was successful. Future Meeting: Tuesday, February 27, 2018, 3:30pm.
