Committee Minutes
Monday, September 16, 2019; 3:40 p.m. at City Hall
Members present: Chair Lucarelli and City staff Thiele and Floyd. Guests present: Bobbie Stewart and
Kathleen Wilson, POBSA; Sharron King, Fathoms O’ Fun; and Kathy Garcia, Port of Bremerton.
Tree Decorating Contest Update
Staff Floyd noted the City has received about 6 applications so far. The contest has been posted to our
website and social media.
Chair Lucarelli said there will be several color ads this year for the tree contest. She will also be
distributing the applications to gather more interest.
Staff Thiele noted he left a message with the tree farm regarding the trees for the contest as well as
pricing out a 40 foot tree.
The committee briefly discussed the contest and downtown lights.
Advertising Update
Chair Lucarelli said she is working on advertising and will confirm available budget. We also need to
update the map for this year.
PW Tree Procurement Update
In response to Chair Lucarelli, staff Thiele said he will contact 2 tree farms regarding a 40 foot tree. He
suggested using a tree hauler service who can deliver the tree as they have more experience.
The committee discussed using a tree hauler and the process of bringing the tree to City Hall.
Songs for Chimes
Chair Lucarelli noted the committee will choose which Christmas music to play during the event. She
will bring a list of songs she has had throughout the years. We should find a song that we have not
used before and which will go with the theme ‘Christmas by the Bay’.
Santa’s Sleigh
Ms. King said she spoke to Larry Stokes who has 3 sleighs and we can pick which one we want.
The committee discussed sleigh options; where to put Santa for pictures; and how to indicate where
the lines is for pictures.
Volunteers
Ms. King said Soroptimist will be volunteering this year.

The committee discussed timeframes for the volunteers.
Special Event Application
Staff Floyd noted she is working on the application and a map needs to be submitted with the
application which indicates the road closures.
The committee discussed road closures and traffic; parade; hayrides; Santa location; and parking.
Miscellaneous
The committee discussed the theatre and movies; live theatre during the event; decorations; playing
music; tents; ‘Santa’s Sleigh on the Bay’; pet parade; choirs; sound system; firepits; locations of
volunteers; and porta potties and bathrooms.
There being no further business, Chair Lucarelli adjourned the meeting at 4:31 p.m. Audio-only
recording was successful.
