Festival of Chimes and Lights Committee Minutes
September 14, 2015
Members present: Chair Lucarelli, Councilmember Childs and City staff Brandy Rinearson. Guests
present: Al Mahaney, Fathoms O’ Fun; Sheila Cline, Jingle Bell Run; and Sharon Allen, Port Orchard
Independent.
CHIMES AND LIGHTS MEETING:
Theme-The committee discussed the theme and agreed for it to be “A Dickens of a Christmas” to keep the
celebration of the 125th Anniversary of the City going.
Tree Lighter- Still is being determined.
Sound System-Staff will seek three quotes for the committee to review.
Public Event Application-Committee said no changes from last year.
Advertising-Committee and staff will work with Port Orchard Independent for advertising the event.
Committee will see if School District can help with marketing to their students.
Organizations/contributions for 2015 C&L Festival:
Arthritis Foundation-Jingle Bell Run-No new changes from last year and things are in place.
POBSA – Committee is hoping they will continue with the window decorating contest among the
merchants.
Fathoms O' Fun - Fire pits & Santa Photos- Santa has been contacted and fire pits will be ready for the
event.
Port Orchard Chamber of Commerce - Pooch N' Purr Parade-Waiting for update.
Port Orchard Library - Kids Activities-waiting to see what activity the library will put on.
The Sidney Museum – Usually has log cabin event. Committee will need hours of event for brochure.
Kitsap Bank- Popcorn and Cider-Committee will check to see if they are still participating.
Port Orchard Independent-Is on board and will help when needed for marketing of the event.
The Dance Gallery –Waiting to see if they will participate this year.
Port of Bremerton Port Orchard Marina- Decorated Boats-They are on board with assisting the
committee as needed.
Sinclair Inlet Yacht Club - Decorated Boat “Christmas Lane” Contest-Committee needs to confirm they are
on board.
Olympic Peninsula Antique Tractor Club - Hay Rides-Committee said they are on board.
Saints Car Club – Waiting to see if they will participate this year.
Church Groups: Staff will contact to see if they are still on board.
Knights of Pythias-Hot Coco, Tea, and Coffee
Heritage Foursqure-Chili
Calvary Church- Hot Coco, Tea, and Coffee
School & Church Music Groups: - Committee will confirm the School is on board.

Dragonfly Movie Theater –Committee recommended follow up to be done by the Library as they have
coordinated this in the past.
Public Works: They are on board with their usual decorating of the event.
Pick out Christmas tree, setup, and take down-Port Orchard Independent will see if they can get a tree
donated. Staff will provide the height of the past trees to them.
Put up City garland, wreaths, and lights –Staff will follow-up with them to confirm timeline.
City Hall:
Budget review and update-Staff provided budget.
Deadline for Distribution of brochure:
South Kitsap School District –Committee decided not to use Peachjar, they will see if school
district will help spread the word, as their students are typically involved in the event.
Kitsap Bank-Committee will check to see if they will do what they did last year.
City utility bills-Staff was told the deadline to submit for October’s billing is October 16th.
West Sound Utility District’s bills-Staff will see if we can place a small brochure in their bills.
A&W-Committee was interested in printing smaller brochure and see if A&W will hand out on
their food trays.
Event Application deadline- Staff will submit to Council on October 13, 2015.
LTAC Application deadline -Staff will submit application by September 28, 2015.
Volunteers Needed:

Donations/Sponsors Needed:
Purchase of Tree-TBD
Brochure printing-Staff will seek bids for committee to review.
There being no further business, Chair Lucarelli adjourned the meeting at 4:33 p.m.
Next Meeting Date:
The next meeting will be held on Monday, September 28, 2015, at 3:30 p.m. at City Hall.
